Calendar & Room Scheduling

Has anyone found a way to use the calendar feature to also schedule room usage?  Right now we use the calendar as a master for all school events.  We have a separate calendar for room usage and a custom form for the room reservation request.  They are not linked so you can imagine the challege we have created for ourselves to track room reservations etc.

If you are using another software I'd like to hear that as well.

Hello Tina,

We have found the WH calendars to be inadequate for resource scheduling. Like you, we use an external system for room reservations, etc. And also like you, we see this as a problem. Currently we use CALCIUM by Brown Bear Software.

At present we have one Outlook Master Calendar that also syncs to Whipple Hill. It doesn't work for room reservations because we need time before and after in a room, so this is a problem for us, too. Is there a suggestion on WH's User Voice to fix it?

We have one person do the room scheduling and then post on WH calendar. For heavily used spaces like computer labs, we set up a shared spreadsheet on Google Docs using a template that matches our complex school day schedule and rotation.

Hi Tina - we use a very similar approach. We ask those requesting a calendar entry that also requires a room to check the date and time on the "room use" calendar before submitting the calendar request. Sometimes it works.
